How do I organize elements in Story Planner?

Learn how to create, arrange and organize your items in Story Planner

Organizing your items in Story Planner is simple and intuitive. You can create, reorder, move, duplicate, export, and delete your content directly from the app.

Creating a New Item

To create a new item, tap the + icon at the bottom of the screen.

Reordering Items in a List

To rearrange an item in a list, touch and hold the item you want to move until it appears selected.

Then drag it to its new position and release it.

You can use this same gesture to reorder characters, locations, plots, scenes, and any other list items.

Moving Scenes Between Acts

You can also drag and drop scenes from one act to another in the scene list.

Touch and hold the scene you want to move, then drag it into the desired act.

Deleting Items

To delete an item on iPhone or iPad, swipe left on the item you want to remove, then tap the trash icon.

On Mac, right-click the item to open the menu, then choose the delete option.

Organizing Projects in Story Planner

Projects have a slightly different menu from other items. When you swipe left on a project, or right-click it on Mac, you will see additional options.

From the project menu, you can:

  • Mark a project as completed or in progress
  • Export or print your project
  • Duplicate a project
  • Delete a project

Duplicating a project is useful if you want to create a backup, reuse a structure, or build a project template.

Marking projects as completed or in progress can help you keep your project list better organized.

Working with Project Tags

Project tags help you organize your projects and find them more easily.

Each project has a section dedicated to tags. If a project already has tags assigned, you will see them in this section. If no tags have been added yet, you will see the message “No tags.”

Adding and Managing Tags

You can manage your tags directly from inside any project.

Open a project and tap the tags field. From there, you will be able to view, create, edit, delete, and assign tags.

Any tag you create inside one project will be available for all the projects in the app.

Editing Tags

The tag editing screen shows a list of all the tags available for your projects.

To edit or delete a tag, swipe left over the tag.

You can also tap the name of a tag to enter editing mode and change its name.

Assigning Tags to a Project

To assign tags to the current project, tap the button on the left side of each tag.

Selected tags will be added to the project and will appear in the project’s tag section on the main screen.

Filtering Projects with the Search and Filter Bar

Once you have organized your projects with tags, you can use them to filter your project list.

To show the search and filter bar, swipe down over the project list.

You can also use the keyboard shortcut Cmd + F on iPad and Mac.

Filtering by Tags

Tap the tags button to filter your projects by one or more tags.

When a tag filter is active, the tags button will appear in red. You will also see the selected tags displayed next to the filter buttons.

Sorting the Project List

You can sort your project list using the sort button.

Projects can be sorted by:

  • Name
  • Modification date
  • Default order

The default order lets you manually rearrange your projects by dragging and dropping them.

When a sort option is active, the sort button will appear in red.

Working with Tags Within the Projects

Tags help you organize the items inside your projects and find them more easily.

You can use tags with the default sections in Story Planner, and with any custom tabs you create, such as objects, themes, clues, chapters, or any other section you add to your project.

Creating and Assigning Tags

Inside each item card, you will find a section where you can create and assign tags.

To create a new tag, tap the + button in the top-right corner of the screen.

You can create as many tags as you need.

Tags are specific to each project and section. For example, tags created for characters in one project will belong to that project’s character list. They will not be shared automatically with other projects.

Editing or Deleting Tags

You can edit or delete any tag from the tag list.

On iPhone or iPad, swipe left over the tag you want to edit or delete.

On Mac, right-click the tag to open the available options.

You can also tap the tag name to enter editing mode and change its text.

Filtering Items by Tags

Once your tags are organized, you can use them to filter your lists with the search and filter bar.

This makes it easier to find specific characters, locations, scenes, notes, or custom items based on the tags you have assigned to them.

Search, Filter, and Organize by Tags

You can organize all the lists in Story Planner using tags, search tools, filters, and sorting options.

This allows you to quickly find the items you need and arrange your lists in the way that works best for your project.

Showing the Search and Filter Bar

To show or hide the search and filter tools, tap the magnifying glass button in the bottom bar of the screen.

You can also swipe down over a list to make the search and filter bar appear.

Tip: If you are using Story Planner on iPad or Mac, you can use keyboard shortcuts:

  • Cmd + F to open the search bar in the projects list
  • Shift + Cmd + F to open the search bar inside a project, for example in characters, locations, scenes, notes, or custom tabs

Filtering Lists by Tags

You can use the tags button to filter a list and show only the items that have specific tags assigned.

When a tag filter is active, the tags button will appear in red. You will also see the selected tags displayed next to the filter buttons.

This makes it easy to focus on a specific group of items, such as main characters, important locations, completed scenes, notes for revision, or any custom category you have created.

Sorting Lists

You can sort any list in the app using the sort button.

Most lists can be sorted by:

  • Name
  • Default order

The default order is the manual order of your list. You can change it by dragging and dropping items into the position you want.

When a sorting option is active, the sort button will appear in red.
